Sportsfile: Distributing images in seconds with automated workflows

Last updated on: 15. October 2026

Sportsfile, Ireland's number one Sports Photography Agency, has been using Fotoware for more than 20 years now. Their benefits are clear: less manual caption handling, automated photograph sharing, faster picture delivery to newspapers, and remote access to a shared image library.

Over these two decades with Fotoware, Sportsfile’s needs have evolved from making a large image collection searchable to faster and more automated picture delivery. Their Fotoware Digital Asset Management (DAM) solution has evolved with those needs, developing and refining a system around the way the agency works.

The initial challenge: finding the right images

When Sportsfile was founded by Ray McManus in the early 1980s, the world was very different from what it looks like now. Ray recalls the 1994 World Cup in the USA where Sportsfile used expensive modems to transmit images, with one modem needed to transmit the event pictures, and another one to receive them.

Sportfile started looking for a Digital Asset Management solution as their photography collection grew to over 100,000 images and finding the right photographs had become a major issue. Fotoware was an obvious choice to solve this challenge: metadata, the descriptive information attached to each image, became essential to making that collection easily searchable. Today, the Sportfile’s DAM contains more than 4 million assets, and consistent metadata remains essential to making images searchable and powering the automated workflows that process, adapt and deliver them.

A new challenge: faster delivery with specific caption rules

As the industry and technology evolved, new distribution challenges emerged.
Fast image delivery became even more relevant, and newspapers, websites and other recipients had different access and distribution requirements, so the same photograph could require different specific captions for different destinations. Distributing files meant adjusting the captions, connecting to one newspaper, delivering the image, disconnecting, and then repeating the process for the next recipient. It was repetitive work that had to happen alongside managing the photographs themselves.

Sportsfile needed a solution to reduce manual work and accelerate image delivery to customers.

The solution: from metadata to automated image delivery

Ireland is a very media heavy market, with several newspapers and numerous websites in the news and sports market. With Fotoware, Sportsfile can use the metadata attached to photographs to trigger automated image delivery to all of them: custom configured workflows process the pictures, adapt the captions, and deliver the files to the right recipients in the required format. The whole automated distribution process from upload to delivery is completed within seconds.

— “Automated delivery is the big breakthrough for us. We can send images in a particular way to one client and a different way to another, and it’s all automated.”

Ray McManus

Owner and Founder of Sportsfile

The automated workflows are configured around Sportsfile’s business needs to reduce manual work and accelerate image delivery. Pictures can automatically be added to the right image collections and distributed to the right newspapers and customers, helping Sportsfile move content quickly while maintaining control over paid image delivery.

Automated caption conversion further simplifies the distribution process: by adding the right metadata, the Fotoware system restructures the captions to meet each recipient’s required format, so images can be delivered correctly with the touch of one button and without any further manual caption handling.

All these automations are based on accurate metadata input: when the metadata and caption rules are followed, the workflows set in Fotoware can automatically process the image, adapt the caption, and deliver the picture according to each recipient's requirements.

— “At the same sport event, we may be shooting images for the newspapers, for the team itself, and for a sponsor: three different clients with three different access needs. Instead of creating separate caption templates for every client and photographer, we now use one standard event caption, and the Fotoware workflows take care of the rest.”

Adapting workflows to meet Sportsfile’s business requirements

Sportsfile’s workflows have evolved over the years to meet their evolving needs, rather than arriving as a single fixed set-up.

Whether Sportsfile needs to cover a new event or deliver images to a new recipient, new requirements might quickly emerge. Sportsfile shares their needs with Fotoware, Fotoware Professional Services team Sportsfile's workflows to meet these needs, and keeps adapting them as the destination or delivery rules change. This ensures that the solution continues to support how the agency works day to day.

For Sportsfile, having a dedicated expert who understands both their business requirements and their workflows means the solution can continue to adapt as their needs change.

— “Our dedicated Professional Services manager does superb work for us. I don’t think we’ve raised a request that the team hasn’t been able to resolve.”

Results: less manual work, faster delivery and greater flexibility

Reduction of repetitive manual work is the clearest benefit that comes from automated image delivery and recipient-specific caption conversion. Caption changes that previously had to be made by hand and repeated to meet different formats are now handled through automated workflows, and images can be distributed to the right recipients without manually sending each file to each client. This also helps reduce the risk of errors.

— “At the time, configuring the caption conversion workflow felt like a big decision, and I wondered whether we would ever get the investment back. Now, we get it back every month.”

Ray McManus

Owner and Founder of Sportsfile

Speed to market is another key benefit: faster distribution means newspapers get access to the right images at the right time, while Sportsfile’s photographers can spend less time on repetitive manual delivery steps and more time on capturing the right images during time-sensitive sports events.

Remote access has also given the team greater flexibility, allowing them to access the shared Fotoware image library without physically being in the Dublin office and work from anywhere at top speed, without relying on stable internet connection.

These gains show the value of a system shaped around real business requirements. The result is faster image delivery, less manual work and a flexible solution that keeps adapting to Sportsfile’s evolving needs.

— “We may be a small agency based in Ireland, but we travel the world covering major sporting events. Fotoware products and automations give us the speed and efficiency we need to deliver international coverage at scale, from events such as the Olympic Games to the World Cups.”
