Introducing Asset Linking: Helping you ensure efficient GDPR compliance

Introducing Asset Linking to FotoWare Consent Management

We’re proud to announce that Asset Linking is now available to all FotoWare SaaS users. This greatly improves our Consent Management feature, further increasing its ability to help with GDPR compliance for images.

With Asset Linking, you can ensure that everyone working with your visuals always knows whether individuals have consented to the image(s) being used and for what purposes. The feature also speeds up your workflows, enabling you to quickly find assets where the proper consents are given, decreasing the chances of unapproved usage.

In this article, we’ll explain what Asset Linking is in more detail and how it improves your processes for GDPR compliance.

What is Asset Linking:

First off, let’s clarify what Asset Linking is. Asset Linking is an in-built feature in FotoWare that enables you to attach consent forms directly to your digital assets. The feature will automatically update the assets' metadata to fit the values in the attached consent form(s) and display these through visual markers.

Since all the information is part of the asset’s metadata, you can be sure that it’s up-to-date and will change automatically if the consent form changes. For example, if someone revokes a consent form, this will also trigger an automatic change in the linked assets.

How Asset Linking helps with GDPR compliance:

Because Asset Linking is an enhancement to the Consent Management feature in FotoWare, its main goal is to enable better and faster processes when using it. Whereas Consent Management was already a helpful tool for GDPR compliance through customizable consent forms, Asset Linking enables organizations to speed up such workflows through automation.

Asset Linking is also helpful in improving transparency across the organization. Since the consent forms are attached to the images, thumbnails will automatically update as consent is requested, gathered, updated, and revoked. This way, everyone working with the assets can easily see what is consented to when browsing the system. Additionally, through metadata automation, users can always be sure that the illustrative markers are up-to-date.
