1. Streamline Your Workflows
The process from production to publishing involves a range of roles and responsibilities. 2. Keep Track of Rights
As we've discussed, accidentally using images that you don't have the correct license for can be extremely damaging and costly for any business. Given how much content media companies are producing, the chances for such mishaps are naturally far higher than for any other business. It's therefore critical that everybody working with licensed content in the organization can clearly and easily determine whether the organization can or cannot use specific media.
In a Digital Asset Management system, information about the rights of an image or video can be attached to the specific asset, using metadata.
Many media companies, big and small, are still using folder structures to store their files on huge network storage systems. This means that when you want to find a specific file - you have to know at least one of the following:
the exact file name
the date the image was created or uploaded
the exact folder it lives in - and all the folders preceding that, of course!
If you don't know any of that information, then you have to spend a significant portion of your time looking through various folders before you can dig it out! Dealing with a library of hundreds or thousands of assets makes this seriously inefficient!
The alternative to these folder structures is to use a system designed for search-based file discovery. With Digital Asset Management systems, keywords and other descriptive metadata are added to a file, so you can search for it based on its characteristics. For instance, let's say you've got an incredible photo of the London skyline you want to use. You don't have to know the exact file name, when it was uploaded, or even which folder you have to locate to find it. You can simply search for 'London' or 'Skyline', and there it is - along with any other images that relate to those keywords!
4. One Place for All Your Files
We know folder structures are inefficient, but you can multiply that inefficiency if you're using many different locations to store your files. The biggest problem comes when you need to find a specific file, but you don't know exactly where it's stored.
Is it on one of the external hard drives? (If so: which one?!)
Could it be somewhere on the network?
Or perhaps it's in Dropbox?
If you have to rummage through each of these locations to look for the file, you're going to be spending a lot of time just searching. That's time that could be better spent on creative tasks, or anything else!
